AI spend and headcount come out of the same budget. Next year every CFO has to plan both, and no system today holds them together. We always knew that's the system we were building at TeamOhana. We shipped token spend first to test the idea in the market, and our customers proved it.
Key takeaways
- Token spend is only part of the AI bill. Seats, enterprise plans, AI add-ons and agent cloud usage come out of the same budget line.
- Token data can't name who spent the money. Only a workforce record can give every API key an owner.
- AI Spend Management and Control gives every key and every digital worker a named owner and an approved budget, inside the same plan as headcount.
What is AI spend management and control?
AI spend management and control is how finance tracks, owns and budgets every AI cost a company pays for, not just tokens. In TeamOhana, AI Spend Management gives every API key and digital worker a named owner and an approved budget, and AI spend sits in the same plan as your people.
We started with token spend
IT teams asked for it first. They saw a bill from every provider and couldn't tell who ran it up. We connected to Anthropic, OpenAI, Cursor, OpenRouter and the gateways, and tied every API key to an employee or an agent. Other tools report AI spend by vendor. We report it by person, because we already hold the workforce data. We wrote about why we built Token Spend Management when we launched it.
Customers proved the hypothesis
A finance leader at a fast-growing customer watched AI spend double every two months. His team built its own dashboard across OpenAI, Anthropic and Gemini, and it took two to three people full time to run. He told us tracking was the easy part. What he wanted to know was whether AI spend could justify fewer hires. He was already moving to hiring requests that carry salary, benefits and an AI enablement number.
Another customer had cut headcount on the assumption that AI would make up the difference. They bought AI through company-wide licenses with no view by department, so their budget had nowhere to weigh one against the other.
An engineering leader looked at spend rolled up per engineer and told us: here's the actual cost of your employee, because it's not just their salary anymore.
Token spend alone falls short
Tokens aren't most of the bill anymore. Seats, enterprise plans, AI add-ons to software you already buy and agent cloud usage all come out of the same budget line.
Token data also can't tell you who spent the money. One large customer runs 90 to 95% of its AI spend through two providers, on API keys shared across people and projects. Every key needs an owner, and only a workforce record can name one.
A report after the fact doesn't help much either. Another customer held AI tools back from its teams until governance was in place. They wanted an owner and a budget set before anyone spent a dollar.
AI Spend Management and Control gives every key and every agent a named owner and an approved budget. When spend crosses that budget, the owner hears about it right away, not at month-end close.
One budget, two workforces
When you hire a person, the role comes with a job description, a business case, a budget approval and a review a year later. The role ties budget to work to outcome. AI spend has no role, so no system holds it.
We're giving it one. In TeamOhana, you budget a digital worker the way you budget a person: define the work, set the spend, get it approved. We track actuals from every API key and gateway. The digital worker sits next to your people in the same plan, approved by the same leaders.
In the next planning cycle, CFOs will ask whether the next open role goes to a person or an agent. No HCM, ERP or planning tool can answer that today. We're building TeamOhana to answer it.
Plan next year with AI spend inside it
If you already track token spend with us, nothing breaks, and the product now covers every AI cost. Budgets and thresholds come next, ahead of planning season.
If you're new, connect a read-only billing key and you'll see AI spend as a share of payroll, by person and by team. Your FinOps tool has no comp data, and you shouldn't have to hand it your employees' PII. TeamOhana is already your trusted workforce platform. Now it tracks AI spend too.
Book a meeting with us. We'll show you your own AI spend by person and team, and help you build next year's plan for both workforces from one budget.
AI Spend Management FAQs
Simplifying TeamOhana: your questions, answered.
AI spend management is how finance tracks, owns and budgets every AI cost a company pays for: API tokens, seats, enterprise plans, AI add-ons to existing software and agent cloud usage. In TeamOhana, each of those costs is tied to a named person, team or digital worker, so AI spend sits in the same budget as headcount.
Token spend management tracks API usage from providers like Anthropic and OpenAI. AI spend management covers the full AI bill, including seats, enterprise plans, AI add-ons and agent cloud usage, and adds a named owner and an approved budget so spend is governed before it happens instead of reported after.
AI spend and headcount come out of the same budget. When a leader weighs a new hire against more AI capacity, finance needs both costs side by side to make the call. Planning them in separate systems leaves the budget with no way to weigh one against the other.
Token data alone can't show who spent the money, especially when API keys are shared across people and projects. TeamOhana ties every API key to an employee or a digital worker using the workforce record it already holds, so every key has a named owner accountable for its spend.
A digital worker is AI capacity you budget the way you budget a person: define the work, set the spend and get it approved. TeamOhana tracks its actual spend from API keys and gateways and places it next to your people in the same plan, approved by the same leaders.
TeamOhana connects to Anthropic, OpenAI, Cursor, OpenRouter and AI gateways through a read-only billing key. It then reports AI spend by person and by team, including AI spend as a share of payroll.
No. Existing customers keep everything they track today, and the product now covers every AI cost, not only tokens. Budgets and spend thresholds come next, ahead of planning season.
