Overview
Sprout Social builds social media management software used by brands and agencies around the world. As a public company, its workforce numbers carry weight. They show up in quarterly earnings, and they have to be precise, not approximate. Amy Amato, Senior Manager of Talent Acquisition Operations, drove the decision to adopt TeamOhana. Hiring had stopped being something Sprout Social could plan once a year and leave alone. The market kept shifting, priorities kept moving, and keeping headcount aligned by hand had become unsustainable. The problem was not Talent's alone. Finance owned the same number for earnings and compliance, and People Business Partners owned it for workforce planning, yet the three functions rarely saw the same version of it. Amy and the Finance team implemented TeamOhana together, and about a year in, they now work off one shared, trusted view of headcount.
Challenges
Headcount data lived in up to ten places at once: Workday, Greenhouse, a separate finance planning tool, and a hiring tracker for every department.
No single source of truth, so every workforce question started with a reconciliation.
Approval decisions stalled for 2 to 4 weeks while people dug through old Slack threads and emails.
No audit trail of who approved a role or when, so teams could not act on a role without first proving it existed.
Sprout Social was not short on data. It was short on agreement. The problem was too much data, scattered and unreconciled, with no way to know which version to trust.
“There was a time about five years ago where I was just in a spreadsheet, tracking every departure that happened so we could make sure we had accurate numbers to give to Finance. It was not fun.” — Amy Amato, Senior Manager of Talent Acquisition Operations
More recently the stack looked more modern, but it was still fractured. Workday held HR data, Greenhouse held the ATS, Finance ran its own planning tool and spreadsheets, and each of the four to five departments kept its own hiring tracker. That added up to as many as ten different places where headcount data lived, and none of them agreed.
“No one knew which thing to trust. There wasn't one source of truth.” — Amy Amato, Senior Manager of Talent Acquisition Operations
The cost was time and confidence. Aligning on where a single number came from could take days or weeks, and every workforce question had to begin the same way.
“We had to start every workforce question with a reconciliation.” — Amy Amato, Senior Manager of Talent Acquisition Operations
Two functions were pulling in different directions, each with a fair point. Finance needed exact numbers for earnings and compliance. Talent was forecasting human behavior that refuses to hold still.
“Finance is looking for precision. Hiring is inherently unpredictable. We're forecasting people who decline interviews and shift their motivations mid-cycle.” — Amy Amato, Senior Manager of Talent Acquisition Operations
A workforce planning tool Sprout Social had used briefly did not survive that pace. It was acquired, stopped advancing, and could not keep up with how quickly the business was rethinking hiring.
Our solution
What set TeamOhana apart, in Amy's read, was that the team was building for where workforce planning was heading, not just for the problem in front of them. Sprout Social implemented it with Finance and Talent in the room together, so the two functions learned each other's constraints during rollout, not after.
The result was a single system where headcount decisions get made, approved, and recorded, not another place to look at numbers. Instead of assessing the impact of a backfill across five spreadsheets before anyone could decide, the decision and its context now live in one place.
“TeamOhana has really given us a shared language and visibility into how each side works.”— Amy Amato, Senior Manager of Talent Acquisition Operations
Key workflows
One source of truth for Finance and Talent
Everything now flows into TeamOhana. Finance no longer pings recruiting managers to ask whether a hire is still on track. They open the hiring tracker and see the start date and where the search stands, whether the role is at offer or still interviewing.
“We were using at least 5 to 7 different tools and spreadsheets to bring all of this information together. And now we're down to one. Everything goes into TeamOhana.”— Amy Amato, Senior Manager of Talent Acquisition Operations
A shared budget both sides can act on
Recruiters can now see the target budget Finance set for an open role. There is no guessing at the end of a search about whether there is room for a signing bonus. The recruiter knows exactly what they can offer and builds it into their negotiation from the start.
An approval record with a full audit trail
When headcount is approved, or a backfill comes in and a leader wants time to decide how to use it, TeamOhana keeps the full history. Teams see who approved a role and when, all in one place, and no longer have to confirm a role existed before acting on it. What used to take 2 to 4 weeks of email archaeology now happens in under a day, and the approval processing itself dropped from roughly a week to an hour.
Scenario planning for constant change
Rather than lock in one hiring plan for the year, leaders can build a standard plan alongside aggressive and conservative versions, then adjust as the market moves mid-quarter. For 2027 planning, Sprout Social is expanding this to give department leaders more autonomy to make tradeoff calls with confidence.

Headcount held flat through a tight budget year without slowing the roles that matter most.
In a tight budget year, holding that line took discipline, and a single trusted view is what made it possible.

“I don't have to second guess myself, because I know the number is the number and it's there. That's the source of truth.”— Amy Amato, Senior Manager of Talent Acquisition Operations
